Project Administrator

The General Services Project Administrator is responsible for managing all facets of a project’s administrative duties for the following service types: Patch and Repair, Job Site Inspection, Roofing Advisor Days, Consulting, TRACE, ACT, Thermocore, and Canam.  This includes; managing payables, customer billings & receivables, field resource & customer communication.  This individual displays a high degree of professionalism, organization and cooperation with customers, field and internal personnel. This position partners with the General Services field operations management and internal departments such as IT, Finance/Accounting, Sales, Accounts Payable, Credit and Product.

Duties/Responsibilities, Core knowledge:

  • Setting up and maintaining all project documents. 
  • Receiving and validating SAP Sales Order information, entered by the Customer Service Rep, to ensure all information is complete and accurate. 
  • Project Administrators ensure timely dispatch of service orders to WTI Technicians as applicable for the project type.   
  • Coordinate work with key project resources including; WTI Field Technicians, customers, and management. 
  • Project management consist of, managing time and expenses as incurred on projects, monitoring payables beyond 30 days; tracking plan and actual costs, confirming that all project documents have been collected as applicable (bonds, insurance, submittals, etc), ensuring expected costs are received and processed before job close out, and prepare accurate and timely invoices to customers based on pricing, and billing procedures, within established metrics and contract terms.
  • Manage Direct Bill accounts as applicable
  • Review and correct accrual items
  • Review and resolve customer disputes
  • Manage tech service expenses and labor hours
  • Review and process Readsoft workflow items
  • Monitor daily, weekly and monthly reports
  • Report low margin jobs
  • Properly escalate concerns and issues
  • Archive Project files as necessary
  • Participate on special projects as necessary

Skills, Qualifications, Experience, Special Physical Requirements:

  • Bachelor's degree in Business, or equivalent experience and/or training required, should have prior experience working in a team environment.
  • Office/Business support background with 3+ years experience in a high paced office environment
  • Knowledge of State Prevailing Wage
  • Knowledge of David Bacon and SCA wages
  • Understanding of Certified Payroll
  • Proficient with spreadsheet, word processing and database necessary
  • MS Office applications and SAP (R3) a plus
  • Sarbanes-Oxley (compliance regulations for publicly traded companies) a plus
  • Ability to multi-task and prioritize work load
  • Exceptional organizational skills
  • Ability to manage multiple priorities, effective Team Player, self motivated, quick learner
  • Excellent communication skills with the ability to read write and communicate fluently in English
  • Must be customer focused with strong written and verbal communication skills
  • Strong interpersonal skills with the ability to make group presentations
