Project Administrator

The Project Administrator is responsible for managing all facets of a project’s administrative duties including managing payables, customer billings & receivables, and field resource & customer communication when necessary.  This individual must display a high degree of professionalism, organization and cooperation with customers, sales and internal personnel.

Duties/Responsibilities, Core knowledge:

  • Set up and maintain all project administration documents
  • Coordinate work with key team members (Project/Construction Managers, Tech Supervisors, Customers, Management, and Sales Reps)
  • Receive and validate order information as entered by customer service. 
  • Issue subcontractor agreements and purchase orders.
  • Enter basic service and dispatch information into system and dispatch internal resources as needed.
  • Process contractor/vendor payables and monitor payables beyond 30 days.
  • Ensure project file integrity (confirm that all project docs have been collected i.e. bonds, insurance, subcontract agreement signed and fully executed as applicable, project specs, safety plans as applicable).
  • Track and validate number of days worked versus planned days, actual expenses on project versus plan and validate job status.
  • Prepare accurate and timely customer invoices based on pricing and billing procedures.
  • Ensure expected costs are received and processed before job close out.
  • Report to management projects that are coming in over budget.
  • Monitor daily, weekly and monthly reports.

Skills, Qualifications, Experience, Special Physical Requirements:

  • Bachelor's degree (B. A.) or equivalent combination of education and experience 
  • Office/Business support background with 3+ years experience in a high paced office environment
  • Proficient with Excel, Word and an Accounting System (such as Timberline or Foundation)
  • Ability to multi-task and prioritize work load
  • Exceptional organizational skills
  • Ability to manage multiple priorities and projects
  • Effective Team Player who is self-motivated and quick learner
  • Excellent communication skills with the ability to read, write and communicate fluently in English
  • Superior written, oral and digital communication skills
  • General Contracting/Construction background preferred
  • Knowledge of State Prevailing Wage, Davis Bacon and SCA wages preferred
  • Understanding of Certified Payroll preferred
  • Experience with any of the following; Job Costing, Payroll, AR, AP, Invoice Entry, General Ledger Entries & State Sales Taxes, SAP a plus
