Job Description

Project Administrator

The Project Administrator is responsible for managing all facets of a project’s administrative duties including managing payables, customer billings/receivables, field resource and customer communication when necessary.  This individual must display a high degree of professionalism, organization and cooperation with customers, sales and internal personnel.

Duties/Responsibilities, Core knowledge:

  • Set up and maintain all project documents
  • Coordinate work with key team members (Construction Managers, Project Managers/Superintendents, Tech Supervisors, Customers, Management, and Sales Reps)
  • Issue subcontractor agreements/purchase orders
  • Dispatch internal resources as needed
  • Process contractor/vendor payables and monitor payables beyond 30 days
  • Project submittal tracking
  • Prepare and submit customer invoices
  • Monitor project budget, financial analysis and reporting
  • Project close out review
  • Monitor daily, weekly and monthly reports
  • Thorough understanding of all policies and procedures
  • Special projects/reports as needed

Skills, Qualifications, Experience, Special Physical Requirements:

  • Bachelor's degree (B. A.) or equivalent combination of education and experience 
  • Office/Business support background with 3+ years’ experience in a high paced office environment
  • Proficient with Excel, Word and an Accounting System (such as Timberline or Foundation)
  • Exceptional organizational skills
  • Ability to multi-task and manage large volume of projects
  • Effective Team Player who is self-motivated and quick learner
  • Excellent communication skills with the ability to read, write and communicate fluently in English
  • General Contracting/Construction background preferred
  • Knowledge of State Prevailing Wage, Davis Bacon and SCA wages preferred
  • Understanding of Certified Payroll preferred
  • Experience with any of the following; Job Costing, Payroll, AR, AP, Invoice Entry, General Ledger Entries & State Sales Taxes, SAP a plus
